Sending collection letters

Creating letters for certain accounts can be an important part of your collections process. With Dentrix Enterprise, you can use Collections Manager to send a collection letter. Once you have generated a list of accounts that need to be contacted, you can send a guarantor a collection letter by merging account data into any of your pre-written letter templates.

To create collection letters

Open and minimize Microsoft Word®.

In Collections Manager, do one of the following:

Select a guarantor, and then click the Quick Letters button on the toolbar.

Select a guarantor, expand the File menu, and then click Quick Letters.

Right-click a guarantor, and then click Quick Letters.

If applicable, do one of the following:

If the Password - Patient Quick Letters dialog box appears, user verification has been assigned to the "Patient Quick Letters" task. Do one of the following:

If your user account has been granted the "Patient Quick Letters" security right, enter your credentials in the User ID and Password boxes, and then click OK.

If your user account has not been granted the "Patient Quick Letters" security right, have a user with permission temporarily override this restriction so you can create a letter this one time. The overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

If a message appears, informing you that you do not have rights to this operation, your user account has not been granted the "Patient Quick Letters" security right. To have a user with permission temporarily override this restriction so you can create a letter this one time, do the following:

On the message, click Yes.

In the Password - Patient Quick Letters dialog box, the overriding user enters his or her credentials in the User ID and Password boxes and then clicks OK.

The Quick Letters dialog box appears.

On the Select Letter list, select the letter that you want to merge account data into.

Click Build/View to merge the letter in Microsoft Word.

Note: Dentrix Enterprise automatically adds an entry in the guarantor's Office Journal, indicating that a letter has been created.

Print the letter.

Close the Microsoft Word document without saving it so the template is not overwritten.

Close the Quick Letters dialog box to return to Collections Manager.

Mail the letter.
